Executive escalation email

This is the template adapted from the email that recovered nearly $950 from Priceline in 48 hours. Replace the highlighted fields with your details, keep the tone calm and factual, and send it to the company's executive escalation channel.

How to use it

  1. Find the executive channel. Search "[company] executive customer service email" or "executive escalation". Most large companies have one.
  2. Fill in every identifier. Case numbers, booking references, dates. Make your file easy to find.
  3. Keep it to one page. What happened, what you already tried, what you want. Nothing more.
  4. Send it yourself. We never contact companies on your behalf.
Subject: Escalation: [amount] refund (Case [case number]) Dear [Company] Executive Services, I am writing to escalate a refund issue that regular support channels have not resolved. [Company] case [case number] (booking [booking reference]): [one-sentence summary of what you bought and what went wrong]. [One sentence on why a refund is owed: e.g. the airline cancelled the flight / the service was never delivered / the charge was not authorized.] I have [what you already tried: e.g. spent hours on hold, used the chatbot, spoke to an agent on DATE], with no resolution. I am requesting that [Company] refund [amount] to my [card or account it should go back to]. Thank you for your prompt attention. Sincerely, [Your full name] [Your email]

Why this works

  • It reaches a human with authority. Executive teams can do what chatbots and front-line agents cannot.
  • It is easy to act on. Every identifier is in the subject line and first paragraph.
  • It documents your effort. Listing what you already tried shows this is a last resort, not a first complaint.
  • It asks for one specific thing. A dollar amount, a destination account. No ambiguity.
